Accounts-receivable automation by Qumaxa

Get paid without the chase.

The AR Automation Console connects to your accounting or ERP system and runs the repetitive side of receivables — delivering invoices, following up, matching cash, tracking disputes — while your team approves anything that carries risk.

the AR Automation Console in about a minute

A short walk-through from Altaf Khan: what we do, how we work and where it fits.

Altaf Khan, Qumaxa — about a minute on AR Automation Console.

The problem

Receivables work never stops

Invoices post at all hours, payments land overnight, reminders fall due on schedules, the AR inbox fills up. Teams either chase manually and fall behind, or hand everything to a tool that acts without judgement. Neither is acceptable with money.

How it works

Two parts, one system

A small connector installed where your accounting system lives

It talks to your ERP/accounting software — securely, API-based, never with a user's password — pushes data up and pulls instructions down.

The cloud Console

Where the AR agent, its specialist sub-agents, your policies and your approval queue live.

One rule throughout

AI reads, drafts, classifies and prioritizes. Deterministic policy code calculates, decides and executes. Humans approve high-risk actions. Everything is logged.

Capabilities

What's here today — and what's next

Early access. We'd rather you know exactly what you're getting.

Current MVP / early access
  • Invoice delivery & validation — Pulls new invoices from the accounting system, checks completeness, delivers and confirms.

  • Collections & dunning — Aging analysis, configurable reminder sequences, promise-to-pay tracking, a daily prioritized worklist; sequences pause automatically on dispute or payment.

  • Cash application — Matches incoming payments to open invoices by rule; exceptions parked with a suggested resolution, never auto-posted below your confidence threshold.

  • Dispute & deduction handling — Detects short-pays and disputes, classifies the reason, opens a case and routes it; every credit memo requires human approval.

  • Credit risk monitoring — Exposure vs limits, payment-behaviour trends, recommendations only — humans change limits.

  • Customer inbox — Classifies inbound AR email (remittances, copy requests, disputes, promises) and drafts replies; starts in draft-only mode.

  • AR reporting — Aging, DSO, collection effectiveness, dispute aging, cash-inflow forecast — every figure computed deterministically, never by an LLM.

  • Approval queue & policies — Tenant-defined roles, amount thresholds and named approvers, editable from the Console.

  • Tenant portal and operator console — With a full audit log of every action and decision.

  • Integrations today — QuickBooks Online and Microsoft Dynamics GP (installed connector).

  • Subscription billing — Via Stripe, with self-service checkout.

Roadmap

Planned

  • Additional ERP adapters: Oracle EBS / Oracle Fusion Cloud, and others as a pluggable compatibility matrix (alpha → beta → stable)
  • Finance reconciliation agent
  • Payment follow-up and transaction-matching extensions beyond current cash application
  • Expanded finance reporting
  • Further finance agents on the same platform

Who it's for

Finance teams that want automation without surrendering control

  • Finance and accounting departments
  • Controllers and AR managers
  • Service businesses with recurring invoicing
  • Organizations running QuickBooks Online or Dynamics GP today — Oracle on the roadmap

Security & control

Designed for money

  • Tenant isolation
  • Role-based access
  • Encrypted credentials
  • Least-privilege API access
  • Comprehensive audit logs
  • Every agent, workflow, prompt and integration version-controlled
  • Hard stop on expired licences
